Job Overview

We are seeking a highly organized and motivated Marketing Coordinator to support our sales team in driving the growth of our ice cream products. As a Sales Coordinator, you will be responsible for coordinating sales activities, managing customer relationships, processing orders, and ensuring smooth information flow between the sales team, customers, and internal departments. The ideal candidate will have strong communication skills, an understanding of the ice cream industry, and a passion for customer service.


Key Responsibilities

1. Sales Support & Coordination

  • Order Processing: Assist with processing customer orders for ice cream products, ensuring timely and accurate delivery.

  • Sales Reporting: Prepare and maintain sales reports, tracking KPIs, sales targets, and regional sales data.

  • Customer Inquiries: Handle customer inquiries, provide product details, pricing, and resolve order or delivery issues.

  • Coordination: Act as the liaison between the sales team, marketing, logistics, and other departments for smooth operations.

2. Customer Relationship Management

  • Client Interaction: Maintain regular communication with customers, ensuring satisfaction and addressing concerns.

  • Customer Database: Update CRM with customer information, tracking sales and preferences.

  • Product Knowledge: Stay informed on the latest ice cream products, flavors, packaging, and seasonal offerings.

  • Client Retention: Work with sales to develop strategies for long-term customer partnerships.

3. Sales Order Administration

  • Order Management: Oversee the order process from receipt to delivery, ensuring no delays or discrepancies.

  • Inventory Coordination: Collaborate with logistics and inventory teams to track product availability and ensure timely fulfillment.

  • Documentation: Maintain records of sales orders, invoices, and customer communications.

4. Sales Strategy and Promotion Support

  • Market Research: Assist in gathering market intelligence to help identify new growth opportunities.

  • Sales Campaigns: Coordinate promotional activities, discounts, and seasonal campaigns to drive sales.

  • Product Launches: Support the sales team in launching new ice cream products, preparing promotional materials.

5. Logistics & Distribution Support

  • Delivery Coordination: Ensure timely and accurate delivery of products, collaborating with the logistics team.

  • Shipment Tracking: Monitor shipments and provide updates to customers on delivery status.

  • Returns Management: Assist in managing the returns process, including product pickup and replacements.

6. Administrative Duties

  • Documentation: Prepare sales contracts, customer agreements, and necessary paperwork.

  • Reports & Analysis: Generate weekly/monthly sales reports, analyzing trends and providing market performance feedback.

  • Meeting Preparation: Organize and coordinate sales meetings, preparing presentations and materials.

7. Collaboration & Teamwork

  • Cross-Departmental Collaboration: Work with production, logistics, and marketing teams to align sales activities.

  • Sales Team Support: Provide administrative and operational support to help the sales team meet their targets.

  • Feedback Loop: Share customer feedback and market trends with sales and product development teams.


Qualifications

  • Education: Bachelor's Degree in Business Administration, Sales, Marketing, or related field (preferred but not required).

  • Experience: 2+ years in sales coordination, sales support, or customer service, preferably in the food industry.

  • Industry Knowledge: Familiarity with the ice cream industry or consumer goods is a plus.
