Job Summary

As an Administrator 3, you will provide comprehensive administrative, project, and office support to senior executives and departmental teams. This position requires strong problem-solving skills, discretion, and initiative, with the ability to manage broad and complex tasks independently.


Key Responsibilities

  • Coordinate large-scale meetings and events (on/off site), including:

    • Venue logistics

    • Participant scheduling

    • Agendas and communication

  • Manage domestic and international travel arrangements.

  • Review and prioritize incoming communications (mail, emails, messages).

  • Prepare:

    • Correspondence and presentations

    • Agendas and minutes

    • Office files, databases, and documentation

  • Handle expense reporting and credit card reconciliation.

  • Provide guidance on department policies and serve as an internal resource.

  • Lead and support special projects, process improvement initiatives, and reporting (e.g., org charts, administrative procedures).

  • Create standard operating documents, forms, and checklists to ensure consistency and efficiency.

  • Facilitate administrative meetings, team-building events, and best practice sharing.

  • Mentor and train junior administrative staff.


Knowledge, Skills & Competencies

  • Proficient in Microsoft Office tools: Access, Excel, Word, PowerPoint

  • Strong understanding of Celestica’s operations and internal policies

  • Excellent verbal and written communication skills

  • Ability to prioritize multiple tasks and projects independently

  • Discretion in handling confidential and sensitive business data

  • Strong organizational and documentation skills

  • Capable of managing professional relationships at all levels of the organization


Experience & Education

  • Typical Experience: 4–6 years of relevant experience in administrative or executive support roles

  • Education: Post-secondary education beyond high school or an equivalent combination of education and experience (may vary by region)


Work Environment

  • Office-based role requiring extended screen time and repetitive tasks (e.g., typing, data entry)

  • Occasional long periods of sitting and visual concentration

  • No remote work; role is based onsite in Guindy, Chennai
