We are seeking an Administrative Assistant within Global Banking & Markets, Investment Banking Engineering based in Bengaluru. This role will provide administrative support for the Engineering leadership team in Bengaluru, as well as backup support for the global team and various administrative functions across the global team.


Key Responsibilities:

  • Diary and Calendar Management: Manage the calendars for MDs and VPs, coordinating meetings and conference calls across multiple time zones.

  • Meeting Coordination: Schedule and coordinate internal/external meetings and video conferences (VCs) across multiple locations.

  • Communication Management: Handle high volumes of phone calls and emails, ensuring timely and accurate relay of information.

  • Travel Arrangements: Coordinate travel arrangements, including international flights, accommodation, trains, and car bookings for the team.

  • Expense Management: Prepare and manage expense reports.

  • Administrative Support: Maintain and update internal systems, manage onboarding processes for employees and contractors, and process invoices.

  • Ad Hoc Tasks: Assist with various administrative tasks, ensuring deadlines are met and workflows are maintained.

  • Holiday Coverage: Provide coverage for colleagues across the global team during holidays.


Skills and Qualifications:

  • Outlook Proficiency: Strong proficiency with Outlook, particularly in managing complex calendars and scheduling.

  • Time Management: Ability to manage competing, time-sensitive priorities with strong judgment.

  • Attention to Detail: High attention to detail and multitasking ability.

  • Communication Skills: Consistent, professional communication skills via in-person meetings, phone calls, Zoom, and email.

  • Team Collaboration: Comfortable working with individuals at all levels of the organization, both internally and externally.

  • Adaptability: Flexible and adaptable in supporting multiple teams and working under pressure.

  • Resourcefulness: Ability to take ownership, use initiative, and solve problems.

  • Discretion: Ability to handle confidential business matters with discretion.

  • Approachable: Friendly, polite, and approachable with a “can-do” attitude.
