Are you an organized, detail-oriented professional looking for an exciting administrative role? As an Assignment Support Administrator, you will act as a liaison between the sales team, Navision/payroll team, and invoicing team, ensuring seamless support for the Assignment Support team in the United States.

Your primary responsibilities will include drafting contract offer letters and amendments, processing Bullhorn placements, and managing administrative tasks to ensure accurate payroll and invoicing.


Key Responsibilities

???? Contract & Document Management

  • Draft Contract Offer Letters (COLs) and amendment letters, prioritizing requests that impact payroll.
  • Review and approve new placements and change requests in Bullhorn within 24 hours.
  • Submit change requests within 24 hours in Bullhorn.
  • Manage the shared mailbox, prioritizing payroll-related requests and responding within 24 hours.
  • Follow up on unresolved issues within 48 hours of the initial request.

???? Communication & Coordination

  • Escalate urgent situations to senior team members when necessary (e.g., missing signed letters affecting payroll).
  • Coordinate with payroll, invoicing, and sales teams to manage large-scale transitions.
  • Schedule meetings with relevant teams and provide structured plans with deadlines.

Tracking & Process Improvement

  • Ensure all requests are completed accurately and on time.
  • Conduct placement reviews and assist with necessary follow-ups.
  • Implement a lessons learned process to analyze past mistakes and improve efficiency.
  • Continuously seek ways to improve processes and increase efficiency.

Strong Organizational Skills: Ability to prioritize work and meet deadlines.
Experience with Legal Documents: Prior experience with contracts is a plus.
Excellent Communication Skills: Confident in written and verbal communication, with a clear phone manner.
Quick Learner: Ability to follow procedures consistently and adapt to new ones.
Technical Proficiency: Knowledge of Outlook, Excel, Word, and PowerPoint.
Independent & Team Player: Ability to work independently while knowing when to seek team support.
